Who sends these notices?

City utility departments, rural water districts, electric co-ops and gas utilities. The person who mails them is usually a billing clerk, a utility office manager or a city clerk who also runs a dozen other jobs. Whoever sends them, the notice usually starts in your billing system or as a document your board or regulator approved.

Can mail meet the deadline?

It depends on how fast the duty is due. USPS lists First-Class Mail at 1-5 business days on its First-Class Mail page, and USPS delivery times vary. When a rule gives you days or weeks, such as a disconnection notice period or a rate notice before new rates start, a letter fits. When a rule gives you hours, mail is the written follow-up only. For example, EPA rules require a Tier 1 drinking water notice as soon as practical and within 24 hours, so a boil-water alert goes out by broadcast, posting or hand delivery first, and the mailed copy follows.

First-Class Mail is the everyday choice for a notice to every address on your list. Certified Mail fits a single notice where your office wants a USPS record of mailing, such as a disconnection notice to one account. Certified Mail is $1.15 plus the current USPS Certified Mail fee, which USPS publishes in Notice 123. You see the full price before you approve. We don't offer paper Return Receipt yet. Your regulator or counsel decides what your notice requires; this page explains how to mail it, not what the law requires.

What do we upload?

Upload the notice exactly as you want it printed, plus a list of names and mailing addresses. Each upload is one letter that goes to every address on that list, so account-specific details belong in a separate upload for that account. Every address comes from you. We check every address before mailing, and the AI never suggests or adds one. We mail letters only; field work such as door hangers stays with your crew.
