Annual meeting notice? Invite members, approve the proof.

By the USMail.ai team, more than 50 years of combined expertise in printing and mailing

Direct answer: Get your annual meeting notice to every member by uploading the notice and your member list to USMail.ai, checking the on-screen copy and approving it; we print and mail it First-Class, Certified or Priority. Your bylaws and state co-op law set the notice rules, so confirm them with counsel first.

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter.

What goes in an annual meeting mailing?

Co-ops commonly send the meeting date, time and place, the agenda, board candidate information, and sometimes a ballot, proxy or registration card. Some also include an annual report or capital-credit update. What's required comes from your bylaws and governing law, not from us.

What notice rules apply?

General information, not legal advice. Notice rules depend on your state, your regulator and your own governing documents. Confirm what applies to you with your counsel or regulator before you mail.

Timing, content and delivery requirements for co-op meeting notices come from your bylaws and your state's co-op statutes. We don't state those rules here. Check with your counsel or board before you set a mail date, and leave room: By default, letters you approve before 10 p.m. CT are handed to USPS the next business day. USPS delivery times vary.

Can you mail ballots?

We can print and mail the pieces you upload. If your election has special handling needs, such as return envelopes or a specific process, ask us about your requirements at info@usmail.ai before you build the job.

Why not use the billing system?

Annual meeting mailings happen once a year and often include several pages or inserts that a bill run can't handle. USMail.ai is an AI print-to-mail platform: You upload. You approve. We produce. You upload the finished file and your member list, and the utility notices hub shows the other utility and co-op mailings we handle the same way.

Can telephone co-ops use this too?

Yes. Rural telephone and broadband co-ops in Nebraska, Oklahoma and Kansas mail annual meeting notices the same way. The page on Retiring copper lines? Tell members before the cutover. covers other member letters those co-ops send.

How does a mailing work?

You upload your letter, notice or postcard as a PDF or document, plus your mailing list. You supply every address; the AI never suggests or adds one. We check every address before mailing, and the AI never suggests an address; every address comes from you. USMail.ai is not USPS.

Next, you review the proof. Check the layout, the address block and the mail class: First-Class, Certified Mail, Priority or Certificate of Mailing. A person on your team approves before anything is produced. You need a USMail.ai account, and you can pay per mailing or keep an optional prepaid meter balance.

We print, fold and envelope each notice, add postage and hand it to USPS. If you change your mind, an approved job can be unapproved until it is processed on its mail date. Unapproving puts the money back on your meter, not back on your card.

Which mail class should I pick?

First-Class Mail is the everyday choice for letters and notices. Certified Mail includes USPS tracking, so plan ahead. Certified letters cost $1.15 plus the current USPS Certified Mail fee, and USPS tracking is included with every Certified letter. Certified is a mail class you choose before you approve, never an add-on. We don't offer paper Return Receipt yet. Priority Mail also includes USPS tracking. Certificate of Mailing records that the piece was mailed, with no tracking.

USMail.ai is not a virtual mailbox. We print your piece and hand it to USPS, delivery timing is up to USPS, and we don't promise delivery dates.

What does it cost?

Postage is always part of the cost; it is never free. You see the complete mailing price before you approve, and there are no contracts, subscriptions or setup fees. You can ask about pricing at info@usmail.ai or see how pricing works.
