Why mail these letters instead of only emailing them?

Email is fast, but a paper letter leaves a clear record that the firm sent written notice to the address on file. Many firms send both: an email for speed and a mailed letter as the written copy. Clients who rarely check email, older clients and clients without a portal login still get the letter. Your state's rules and your own policies decide which channel a given notice needs, and your ethics counsel can confirm the method.

When should a letter go by Certified Mail?

Use Certified Mail when one client or prospective client must receive a single letter and you want a USPS record of mailing, such as a disengagement or non-engagement letter. Certified Mail is $1.15 plus the current USPS Certified Mail fee, which USPS publishes in Notice 123. We don't offer paper Return Receipt yet. You can read more on what Certified Mail costs. A letter to every client, such as a firm closing or a lawyer's departure, usually goes First-Class, because the same letter goes to a whole list.

How far ahead should the firm mail?

Mail as soon as the decision is made and the letter is approved by the responsible lawyer. Clients may need time to choose counsel, ask for files or meet a court date. USPS lists First-Class Mail at 1-5 business days on its First-Class Mail page, and USPS delivery times vary, so mail early enough. If a deadline is close, call or email the client first and treat the letter as the written follow-up copy.

What does USMail.ai not do?

We don't write your letter, choose which clients get it, give legal advice, or file anything with a court. We don't store your client files. Your conflicts checks, client list and trust accounting stay in your own systems. We print the letters you upload, exactly as you approved them, and hand them to USPS. Keep your own copy of every letter you send, along with the list it went to, since the job record is kept only until the expunge date you set.

When does my letter go to USPS?

By default, letters you approve before 10 p.m. CT are handed to USPS the next business day (Monday to Friday). USPS delivery times vary. USPS handles delivery from there. There are no contracts, subscriptions or setup fees.
