Replacing gas meters? You approve, we produce.

By the USMail.ai team, more than 50 years of combined expertise in printing and mailing

Residents learn when your crew needs meter access and how to book a visit, and we print each letter and hand it to USPS. Export the homes on the route, upload the list with your letter, check the proof and the full price, then approve. Your crew schedule stays on track.

USMail.ai is an AI print-to-mail platform for natural gas utilities and propane suppliers that write to residents outside the billing cycle. You upload. You approve. We produce. This page is part of utility notices.

What does a gas utility mail outside the bill?

Meter replacement and access letters are the most common: a crew is coming to one neighborhood and needs someone home or a clear path to the meter. Gas systems also mail easement and right-of-way letters to landowners along a line, cold-weather and safety letters, rate change letters and past-due or disconnection notices. For the last of those, see disconnection notices.

Why do residents need a meter letter at all?

Residents are right to be careful when someone asks for access to their home. A letter on your letterhead, with your phone number and the crew's dates, lets them check the visit is real before anyone knocks. It also cuts down on missed visits, which means fewer return trips for your crew.

What should a meter replacement letter say?

Say which streets or addresses are on the route, the date range, whether gas service will pause during the swap, whether an adult needs to be home and how to book or move a visit. Add a line on how residents can confirm the visit by calling your office. Your utility writes the letter; we print exactly what you approve.

How do you write to tenants versus owners?

Meter access usually involves whoever lives there, but easement letters go to the owner. Decide which address each letter should use and put it in the address columns before you upload. We check every address before mailing, but we never pick between two addresses for you.

How do propane and LP suppliers use this?

Propane suppliers mail tank inspection letters, delivery schedule changes, price letters and safety reminders. The steps are the same: upload the letter and the customer list, check the proof and approve.

How does a gas utility mailing work?

You save the letter the way you already make it, as a PDF or a Word file, and keep resident names and addresses in a spreadsheet. You upload both. We show you a proof of the finished letter and the full price before anything prints. When it looks right, you approve it.

We print each letter, fold it, put it in an envelope, add postage and hand it to USPS. We check every address before mailing. The AI helps set up the job, but it never suggests addresses; every address comes from you. USMail.ai is not USPS, and we can't promise when USPS will deliver a letter.

By default, letters you approve before 10 p.m. CT are handed to USPS the next business day. USPS delivery times vary. If you approve a job and then spot a mistake, you can unapprove it until its mail date. Unapproving puts the money back on your meter, not back on your card.

When should a gas utility use Certified?

Some disconnection or legal notices are sent by Certified Mail so the utility has a USPS record of the mailing. Certified Mail is $1.15 plus the current USPS Certified Mail fee, which USPS publishes in Notice 123. USPS tracking is included with every Certified letter, never an add-on. We don't offer paper Return Receipt yet. Check your state rules or your attorney for what your notice requires.

General information, not legal advice.

What does it cost to mail gas utility letters?

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter.

You see the full price on screen before you approve. You can pay for each mailing as you go, or keep an optional balance on your meter. There are no contracts, subscriptions or setup fees. There is no printer, toner, envelope or stamp to buy, and nobody has to fold letters or stand in line at the post office.
