USMail.AI

Landlord or HOA notices? Approve once, mail residents.

By the USMail.ai team, more than 50 years of combined expertise in printing and mailing

Landlords, property managers and HOA boards can send state notices on paper without a trip to the post office: we print each letter and hand it to USPS. Pick your state below, upload the notice your lawyer or form already gives you, check the proof and the price, then approve. Each state page explains the mailing steps.

USMail.ai is an AI print-to-mail platform for landlords, property managers and HOA boards who send notices that a state law, a lease or a governing document asks for in writing. You upload. You approve. We produce.

Which state pages are ready?

Each state page gathers the USMail.ai pages for that state in one place, so you can find the notice you need and see how mailing it works. We add states as we publish pages for them.

Do notice rules really change by state?

Yes, they often do. How much notice a tenant must get, which form a notice takes, whether it must be posted on the door as well as mailed, and whether Certified Mail is required or only allowed all depend on your state, and sometimes on your city or your lease. An HOA board also follows its state's property code and its own governing documents.

This page doesn't state those rules for you. Your lawyer, your state's official forms or your local landlord association are the right sources for what your notice must say and how long the notice period runs. Once you know what to send, USMail.ai handles the printing and the trip to the post office.

General information, not legal advice.

When should a notice go Certified?

Many landlords send a single, serious notice, such as an eviction or a lease non-renewal, by Certified Mail so they have a USPS record of the mailing. For a Texas example, see the Texas eviction notice page.

Certified letters cost $1.15 plus the current USPS Certified Mail fee, and USPS tracking is included with every Certified letter, never an add-on. We don't offer paper Return Receipt yet. If your state, your lease or your lawyer calls for a Return Receipt, plan for that before you mail. You can read more on What does Certified Mail cost?.

Routine notices to many tenants or owners, such as a meeting notice or a policy change, usually go by regular First-Class Mail.

How does mailing a state notice work?

You save the notice the way you already make it, as a PDF or a Word file, and keep tenant or owner names and addresses in a spreadsheet. You upload both. We show you a proof of the finished letter and the full price before anything prints. When it looks right, you approve it.

We print each letter, fold it, put it in an envelope, add postage and hand it to USPS. We check every address before mailing. The AI helps set up the job, but it never suggests addresses; every address comes from you. USMail.ai is not USPS, and we can't promise when USPS will deliver a letter.

By default, letters you approve before 10 p.m. CT are handed to USPS the next business day. USPS delivery times vary. If you approve a job and then spot a mistake, you can unapprove it until its mail date. Unapproving puts the money back on your meter, not back on your card.

The full walk-through is on how it works.

What does it cost to mail a notice?

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter.

You see the full price on screen before you approve. You can pay for each mailing as you go, or keep an optional balance on your meter. There are no contracts, subscriptions or setup fees. There is no printer, toner, envelope or stamp to buy, and nobody has to fold letters or stand in line at the post office.

Who usually sends these notices?

Small landlords with a handful of units, property managers who handle many buildings, and self-managed HOA boards all send the same kinds of notices: rent changes, lease non-renewals, entry notices, meeting notices and violation letters. Many of them still print at home or at the office, stuff envelopes by hand and wait in line at the post office for each Certified slip.

With USMail.ai, the notice stays yours. You decide the wording and the date, and you approve every letter on screen before anything prints. We take care of the paper, the envelopes, the postage and the handoff to USPS.

What if my state isn't listed yet?

You can still mail your notice. The steps are the same in every state: upload the letter and the addresses, check the proof and the price, and approve. The state pages only add context on common notices in that state; they don't change how mailing works.
