Patient statements due? We check every address first.

By the USMail.ai team, more than 50 years of combined expertise in printing and mailing

Patient statements and lab letters go out on paper, and we print each one and hand it to USPS. Upload the statement file your billing system already makes and your mailing list, check the proof and the full price on screen, then approve. Your billing staff stays on the phones instead of the folding table.

USMail.ai is an AI print-to-mail platform for clinical and reference labs that mail statements and letters to patients. You upload. You approve. We produce. This page sits under healthcare.

Which mail does a lab send?

Labs mail patient statements every billing cycle, and many also mail letters about draw-site changes, new hours, a new address or a billing contact. Some send letters with test results, which have their own page: lab result letters.

Each of those is a stack of paper. Billing staff export a file, print it, fold it, stuff it, stamp it and drive it to the post office, often on top of answering patient calls about the last batch.

Why send lab statements on paper?

Many patients still expect a paper statement for a medical bill, and some only pay after they see one. A paper statement also gives your billing office a clear copy of what went out and when you approved it. Many labs send an email or portal notice and a paper statement together.

How does a lab mailing work?

You save the statement or letter the way you already make it, as a PDF or a Word file, and keep patient names and addresses in a spreadsheet. You upload both. We show you a proof of the finished letter and the full price before anything prints. When it looks right, you approve it.

We print each letter, fold it, put it in an envelope, add postage and hand it to USPS. We check every address before mailing. The AI helps set up the job, but it never suggests addresses; every address comes from you. USMail.ai is not USPS, and we can't promise when USPS will deliver a letter.

By default, letters you approve before 10 p.m. CT are handed to USPS the next business day. USPS delivery times vary. If you approve a job and then spot a mistake, you can unapprove it until its mail date. Unapproving puts the money back on your meter, not back on your card.

The full walk-through is on how it works.

Can we send a different statement to each patient?

You upload the statements and letters you already produce, and we print what you approve. Talk to us before your first run if your billing system makes one combined file, so we can confirm the job is set up the way you expect before anything prints.

Who does the work at the lab?

Your billing or office staff upload the file and approve it, the same way every cycle. Nobody has to run a printer, fold letters or stand in line at the post office, so they can stay on patient calls and claims.

What should a lab statement or letter say?

Your statement and letters are yours to write. Most include the patient's name and account number, the date of service, the amount due, how to pay and who to call with questions. Keep the phone number and payment options easy to find. USMail.ai doesn't write your letters or decide who receives them.

What does lab mail cost?

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter.

You see the full price on screen before you approve. You can pay for each mailing as you go, or keep an optional balance on your meter. There are no contracts, subscriptions or setup fees. There is no printer, toner, envelope or stamp to buy, and nobody has to fold letters or stand in line at the post office.

For a statement that one patient disputes and you need a USPS record of, you can send that one letter by Certified Mail. Certified letters cost $1.15 plus the current USPS Certified Mail fee, and USPS tracking is included with every Certified letter, never an add-on. We don't offer paper Return Receipt yet.
