Lab result letters? You approve, we produce.

By the USMail.ai team, more than 50 years of combined expertise in printing and mailing

Result letters your lab or clinic already writes go out on paper, and we print each one and hand it to USPS. Upload the finished letters and your mailing list, check the proof and the full price on screen, then approve. Nobody on staff prints, folds or stamps a single envelope.

USMail.ai is an AI print-to-mail platform for labs and clinics that mail result letters to patients. You upload. You approve. We produce. This page is part of lab mailing.

Who mails lab result letters?

Labs, clinics and physician offices often mail a letter when a patient has no portal account, prefers paper or asked for a copy by mail. Your practice decides which patients get a letter and what each letter says. USMail.ai prints and mails the letters you have already written and approved.

Why mail result letters on paper?

Some patients don't use a patient portal, change email addresses or simply want a copy they can keep and take to their next visit. A letter gives them something to hold, and it gives your office a clear copy in its own files of what it sent and when it approved it.

How does a result letter mailing work?

You save the result letter the way you already make it, as a PDF or a Word file, and keep patient names and addresses in a spreadsheet. You upload both. We show you a proof of the finished letter and the full price before anything prints. When it looks right, you approve it.

We print each letter, fold it, put it in an envelope, add postage and hand it to USPS. We check every address before mailing. The AI helps set up the job, but it never suggests addresses; every address comes from you. USMail.ai is not USPS, and we can't promise when USPS will deliver a letter.

By default, letters you approve before 10 p.m. CT are handed to USPS the next business day. USPS delivery times vary. If you approve a job and then spot a mistake, you can unapprove it until its mail date. Unapproving puts the money back on your meter, not back on your card.

What does USMail.ai do, and what doesn't it do?

We print the letters you approve, fold them, put them in envelopes, add postage and hand them to USPS. We check every address before mailing. We don't write result letters, interpret results, choose which patients get a letter or decide when a letter should go out. Those decisions stay with your practice and its own policies.

What should a result letter include?

That is up to your practice and its clinicians. Many offices keep result letters short and clear, give the patient a phone number to call with questions and explain the next step, such as booking a follow-up visit. Keep the office name and phone number easy to find.

Who on staff does the work?

The person who already prepares the letters uploads them and approves the job. Nobody has to print, fold or carry trays of mail to the car, so the front desk can stay on patients and the phones. The steps are the same for one letter or a few hundred.

Can we check the letters before they print?

Yes. You see a proof of the finished letter and the full price on screen before you approve. If something looks wrong, fix the file and upload it again. If you approve a job and then spot a mistake, you can unapprove it until its mail date; the money goes back on your meter.

What does it cost to mail result letters?

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter.

You see the full price on screen before you approve. You can pay for each mailing as you go, or keep an optional balance on your meter. There are no contracts, subscriptions or setup fees. There is no printer, toner, envelope or stamp to buy, and nobody has to fold letters or stand in line at the post office.
