Direct answer: The person or business you're writing to is sent your demand in writing, and we print it and mail it by Certified Mail with USPS tracking. You upload the letter you wrote, add the address, check the proof and the full price, and approve. Nothing prints until you say yes.

Statutes checked October 29, 2026: when a demand letter is required, and what it must say, depends on your contract, your state and the kind of claim, so this page quotes no statute. An attorney can tell you what applies. General information, not legal advice.

What is a demand letter?

A demand letter asks someone to do something by a date: pay what they owe, return property, fix a problem or honor a contract. People send them before small claims court, landlords and tenants send them over deposits, and businesses send them over unpaid invoices. You know your dispute best, and an attorney knows the law. We mail the letter you wrote.

What about a past-due invoice?

Most businesses don't start with a demand. They mail a past-due notice first: a plain letter that names the invoice, the amount, the due date that passed, and any late fee your contract sets, with how to pay. If the same notice goes to many customers, upload it once with your customer list. If each notice carries one customer's balance, upload each as its own mailing so every customer gets the right letter. A past-due notice usually goes First-Class. USPS lists First-Class Mail at 1-5 business days on its First-Class Mail page, and USPS delivery times vary, so mail early enough. For recurring bills, see statements and invoices.

What is a final notice letter?

A final notice letter is the last letter before you take the next step, such as sending the account to collections or filing in small claims court. It is a demand letter by another name: it names what is owed, the date by which to pay, and what you will do if they don't. Because it goes to one recipient and you may want proof it was mailed, many senders use Certified Mail. These pages cover businesses collecting their own invoices, not collection agencies.

Why send it by Certified Mail?

Certified Mail gives you a USPS mailing receipt and tracking, which many people keep with their copy of the letter in case the dispute goes further. Certified Mail is $1.15 plus the current USPS Certified Mail fee, which USPS publishes in Notice 123. We don't offer paper Return Receipt yet. Many guides suggest a return receipt. If you need a signed return card, plan another way to get one, because we can't add it. More on what Certified Mail costs.

What should go in the letter?

As a practical checklist for the document you upload: your name and contact details, the recipient's name and address, what happened in a few plain sentences, what you want, the date you want it by, and what you plan to do if it doesn't happen. Attach copies, not originals, of invoices or receipts. Keep the tone factual. Whether a deadline, a specific wording or a specific mailing method is required depends on your situation, and an attorney can tell you.

How does mailing work on USMail.ai?

You upload. You approve. We produce. You upload the letter as a PDF or document, add your list, and check the proof on screen. You see the complete price before you approve, and nothing prints until a person on your staff says yes. From our own production floor: we print, envelope and hand each piece to USPS, and you see the proof and the full price before you approve. Every address comes from you. We check every address before mailing, and the AI never suggests or adds one.

If plans change, you can unapprove an approved job before its mail date, and the money goes back on your meter balance, not your card. A meter balance is optional, and you can pay per mailing.

What does it cost?

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter. A Certified letter costs more, and you see the full price before you approve. USMail.ai is an AI print-to-mail platform, not USPS.

What does USMail.ai not do?

We don't write your demand, give legal advice, collect money, file court papers or contact the recipient. We print the letter you upload, exactly as you approved it, and hand it to USPS. Keep your own copy of the letter and the tracking number.
