Therapy patient letters? We check every address first.

By the USMail.ai team, more than 50 years of combined expertise in printing and mailing

Patients who stepped away from their care plan learn how to come back, and we print each letter and hand it to USPS. Upload the patient list with the letter your practice already uses, check the proof and the full price, then approve. Your clinicians keep their time for sessions.

USMail.ai is an AI print-to-mail platform for physical therapy, occupational therapy and counseling practices that write to patients between visits. You upload. You approve. We produce. This page is part of medical office mailing.

Which letters does a therapy practice mail?

Reactivation letters are the most common: patients who stopped partway through a plan of care, or who haven't booked since their last visit. Practices also mail check-in letters a few weeks after the final session, welcome letters for new referrals, and notices when a therapist joins or leaves, when the office moves or when hours change. If the practice is closing, see practice closing letters.

When is the right moment to send a reactivation letter?

Many practices pull the list once a month: patients with no visit in the last few weeks and no future appointment. A short, warm letter that invites them back tends to work better than a long one. Some practices send a text first and a letter to patients who didn't reply, so the letter is a second, friendly reminder.

How does counseling mail differ from rehab mail?

A rehab letter can be practical: it's been a while, here's how to book. A counseling letter needs more care. Keep it general, avoid any detail about why the patient came in, and make the envelope and the first lines plain. Your practice decides what the letter says; we print exactly what you approve.

Who owns the list?

The practice does. Someone exports patients from the scheduling or EHR system into a spreadsheet with names and mailing addresses. You choose who is on it. USMail.ai doesn't pick patients or suggest addresses.

How does a therapy practice mailing work?

You save the letter the way you already make it, as a PDF or a Word file, and keep patient names and addresses in a spreadsheet. You upload both. We show you a proof of the finished letter and the full price before anything prints. When it looks right, you approve it.

We print each letter, fold it, put it in an envelope, add postage and hand it to USPS. We check every address before mailing. The AI helps set up the job, but it never suggests addresses; every address comes from you. USMail.ai is not USPS, and we can't promise when USPS will deliver a letter.

By default, letters you approve before 10 p.m. CT are handed to USPS the next business day. USPS delivery times vary. If you approve a job and then spot a mistake, you can unapprove it until its mail date. Unapproving puts the money back on your meter, not back on your card.

What does a monthly routine look like?

Pick one day a month. Export the patients due for a nudge, open USMail.ai, upload the list and the letter, check the proof and approve. The whole job takes a few minutes, and nobody prints, stuffs or stamps envelopes or drives to the post office before it closes.

Anyone you trust with the patient list can upload a job and send it for approval, and someone else can approve it. The steps are the same for ten letters or a thousand, so the mailing doesn't wait on the one person who used to run the postage machine.

What does it cost to mail therapy practice letters?

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter.

You see the full price on screen before you approve. You can pay for each mailing as you go, or keep an optional balance on your meter. There are no contracts, subscriptions or setup fees. There is no printer, toner, envelope or stamp to buy, and nobody has to fold letters or stand in line at the post office.

Where do therapy practices fit?

Therapy practices send many of the same letters as other healthcare offices. Browse healthcare to see what other offices mail most.
