Recall cards

Recall cards. No integration.

Direct answer: To mail recall cards without integrating your practice software, export the patients who are due, upload that list with your card design to USMail.ai, review the proof, and approve. USMail.ai prints and mails the cards. It works for dental, chiropractic and optometry offices in Nebraska, Oklahoma and Kansas.

No printer. No stamps. No envelopes. No post-office line. USMail.ai is an AI print-to-mail platform.

What is a recall card?

A postcard or letter reminding a patient it's time to come back: a six-month cleaning, an annual eye exam, a chiropractic check-in or a reactivation note for someone you haven't seen in a while.

Why mail recall cards if my software sends texts?

Some patients ignore texts and email, change numbers or prefer mail. A printed card on the fridge is a simple reminder. If your software can't print and mail cards, or charges extra for it, you can still send them from an exported list.

How do I pick who gets a card?

Run a report in your practice software, for example patients due this month or not seen in 12 months, and export it as a list. You choose who's on it. The AI never proposes or adds addresses.

Can I send different cards to different groups?

Yes. Upload each design with its own list as a separate job, for example one card for cleanings due and another for lapsed patients.

How often should I mail recall cards?

That's your call. Some offices mail monthly or quarterly batches. Each mailing is its own job, paid per mailing with pay-as-you-go or an optional prepaid meter balance.

How does it work?

You upload. You approve. We produce. Four steps. Zero trips to the post office.

  1. Upload your letter, notice or postcard as a PDF or document, plus your mailing list. You supply every address; the AI never proposes or adds addresses.
  2. Review the proof. Check the layout, the address block and the mail class (First-Class, Certified Mail, Priority or Certificate of Mailing).
  3. Approve. A person on your team has to approve before anything is produced. You need a USMail.ai account and either pay-as-you-go per mailing or an optional prepaid meter balance.
  4. We print, prepare and mail it. Changed your mind? An approved job can be unapproved until it's processed on its mail date, and unapproving puts the money back.

Which mail class should I pick?

  • First-Class Mail is the everyday choice for letters and notices.
  • Certified Mail includes USPS tracking. It is not a same-day service, so plan ahead.
  • Priority Mail also includes USPS tracking.
  • Certificate of Mailing gives you proof that the piece was mailed, but it has no tracking.
  • IMb tracing on regular mail shows scans only up to "out for delivery." Tracing data is kept until the expunge date you choose for the job (30 days is just the default).

USMail.ai is not USPS and is not a virtual mailbox. We print your piece and hand it to USPS; delivery timing is up to USPS, so we don't promise delivery dates.

What does it cost?

See how pricing works or email info@usmail.ai. Postage is always part of the cost; it is never free. You see the complete mailing price before you approve.
