Dental notices? Mail every patient from your desk.

By the USMail.ai team, more than 50 years of combined expertise in printing and mailing

Recall cards, office changes and new hours go out to patients on paper, and we print each letter and hand it to USPS. Upload the letter your practice already uses and your patient list, check the proof and the full price on screen, then approve. Nobody at the front desk stuffs an envelope.

USMail.ai is an AI print-to-mail platform for dental offices that still send letters and cards to patients. You upload. You approve. We produce.

Which letters do dental offices mail?

Dental offices mail more than most people think. Recall and cleaning cards go out every month. When a dentist joins or leaves, when the office moves, when hours change or when the practice stops taking an insurance plan, patients need a letter. Some offices also mail welcome letters to new patients and thank-you letters after a referral.

Each of these is a stack of letters that someone at the front desk has to print, fold, stuff, stamp and carry to the post office, usually between phone calls and check-ins. USMail.ai takes the stack off the front desk. For recall cards, see dental recall cards.

Why send dental letters on paper?

Email and text reminders are easy to miss, and some patients never open them. A letter on the kitchen counter is harder to overlook, and older patients often expect one. Paper also gives the practice a clear copy in its own files of what it sent and when it approved it.

Many offices use both: a text the week of a visit, and a mailed card or letter for recalls and office changes.

How does a dental mailing work?

You save the letter or card the way you already make it, as a PDF or a Word file, and keep patient names and addresses in a spreadsheet. You upload both. We show you a proof of the finished letter and the full price before anything prints. When it looks right, you approve it.

We print each letter, fold it, put it in an envelope, add postage and hand it to USPS. We check every address before mailing. The AI helps set up the job, but it never suggests addresses; every address comes from you. USMail.ai is not USPS, and we can't promise when USPS will deliver a letter.

By default, letters you approve before 10 p.m. CT are handed to USPS the next business day. USPS delivery times vary. If you approve a job and then spot a mistake, you can unapprove it until its mail date. Unapproving puts the money back on your meter, not back on your card.

Who at the office can send it?

Anyone on staff you trust with the patient list can upload a job, and you can review it before approving. The steps are the same for one letter or a few thousand, so the job doesn't wait on the one person who knows how to run the mail merge or the postage meter.

What should a dental office letter say?

Your letter is yours to write. Most dental letters name the patient, the practice and the change or the visit that is due, and give one clear next step: call the office, book online or visit the new address. Keep it short and friendly, put the phone number where patients can see it, and sign it from the dentist or the office team.

USMail.ai doesn't write your letter or choose who receives it. We print the letter you approve, for the patients you list.

What does it cost to mail dental letters?

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter.

You see the full price on screen before you approve. You can pay for each mailing as you go, or keep an optional balance on your meter. There are no contracts, subscriptions or setup fees. There is no printer, toner, envelope or stamp to buy, and nobody has to fold letters or stand in line at the post office.

Where does dental fit with other healthcare offices?

Dental offices share many of the same letters as medical, chiropractic and therapy offices. Browse healthcare for the letters other offices send most, and the full walk-through is on how it works.
