Clinic letters to patients? Approve once, we mail.

By the USMail.ai team, more than 50 years of combined expertise in printing and mailing

Patients hear about recall visits, sliding-fee updates and program news by letter, and we print and hand every piece to USPS. Export the patient list from your system, upload it with your letter, check the proof and the full price, then approve. Your front desk stays with the patients in the room.

USMail.ai is an AI print-to-mail platform for community health centers and clinics that write to patients on paper. You upload. You approve. We produce. This page is part of medical office mailing.

Which letters does a clinic put in the mail?

Community health centers mail more than most offices. Sliding-fee schedule letters go out when discount tiers change or a patient's eligibility is due for renewal. Recall letters remind patients about well visits, screenings and immunizations. Program letters invite patients into a diabetes class, a prenatal group or a new dental chair. And when a site moves, changes hours or adds a provider, every patient on that site's list needs to know.

When in the year does a clinic mail each piece?

Many clinics work on a calendar. Sliding-fee renewal letters follow the clinic's own renewal cycle. Back-to-school immunization recall often goes out in summer, and flu-season reminders go out in early fall. Program letters follow grant cycles and class start dates. Because every job uses the same steps, the person who sends the spring recall can also send the fall reminder without retraining.

Who prepares the list?

Usually the front desk lead, the outreach coordinator or the billing team exports it from the practice system as a spreadsheet: name, mailing address and any field your letter uses. You decide who is on the list and what the letter says. USMail.ai doesn't choose patients or suggest addresses; we print and mail what you approve.

Can a clinic mail one program's patients without touching the rest?

Yes. Each mailing is its own job, so you can upload only the patients in one program, one site or one age group. Filter the export before you upload, check the count on the proof screen and approve. The rest of your roster isn't touched.

How does a clinic mailing work?

You save the letter the way you already make it, as a PDF or a Word file, and keep patient names and addresses in a spreadsheet. You upload both. We show you a proof of the finished letter and the full price before anything prints. When it looks right, you approve it.

We print each letter, fold it, put it in an envelope, add postage and hand it to USPS. We check every address before mailing. The AI helps set up the job, but it never suggests addresses; every address comes from you. USMail.ai is not USPS, and we can't promise when USPS will deliver a letter.

By default, letters you approve before 10 p.m. CT are handed to USPS the next business day. USPS delivery times vary. If you approve a job and then spot a mistake, you can unapprove it until its mail date. Unapproving puts the money back on your meter, not back on your card.

The full walk-through is on how it works.

How is clinic mail different from a private office's?

A community health center often has several sites, more languages and more programs than a private practice. That means more, smaller mailings rather than one big one. It helps to keep a short template per letter type and per language, then export a fresh list for each job.

Anyone you trust with the patient list can upload a job and send it for approval, and someone else can approve it. The steps are the same for ten letters or a thousand, so the mailing doesn't wait on the one person who used to run the postage machine.

What does it cost to mail clinic letters?

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter.

You see the full price on screen before you approve. You can pay for each mailing as you go, or keep an optional balance on your meter. There are no contracts, subscriptions or setup fees. There is no printer, toner, envelope or stamp to buy, and nobody has to fold letters or stand in line at the post office.

Where do clinics fit with other healthcare offices?

Clinics send many of the same letters as other healthcare offices. Browse healthcare to see what other offices mail most, or start from industries.
