Boil water follow-up? Update residents in one upload.

By the USMail.ai team, more than 50 years of combined expertise in printing and mailing

Statutes checked October 29, 2026

Direct answer: Customers are sent a printed copy of the advisory and every update. EPA rules require a Tier 1 notice as soon as practical and within 24 hours, so broadcast, posting or hand delivery goes first. Mail carries the follow-ups: repeat notices, notice-lifted letters and printed copies for every billing address, which we print and mail once you approve.

Statutes checked October 29, 2026: 40 CFR 141.202 (Tier 1: as soon as practical, no later than 24 hours), 40 CFR 141.203 (Tier 2: no later than 30 days), 40 CFR 141.204 (Tier 3), and EPA's Public Notification Rule overview. Your state primacy agency may add requirements. General information, not legal advice.

Can mail carry a boil-water notice?

Not the first one. EPA rules require a Tier 1 public notice "as soon as practical but no later than 24 hours after the system learns of the violation or situation requiring Tier 1 public notice," per 40 CFR 141.202. USPS lists First-Class Mail at 1-5 business days on its First-Class Mail page, so mail can't meet that clock. Broadcast, posting, hand delivery or your alert system goes first. This page covers only the mailed follow-up: the written copy and every update after it.

What follow-ups go by mail?

Three letters come up most. A written copy of the advisory gives every household the instructions on paper, including people who missed the broadcast. A repeat or update notice explains what has changed if the advisory runs longer. A notice-lifted letter tells residents the water is safe to drink again and what to do next, such as flushing taps. Your state primacy agency may set what each notice must say.

Who gets the follow-up?

Usually every service or billing address in the affected area. Filter your billing export to that area before you upload, and add addresses for people who don't get a bill, such as tenants in multi-unit buildings, if your program asks for that. Every address comes from you. We check every address before mailing, and the AI never suggests or adds one. Other drinking water mailings are on the water system notices page. The yearly water quality report has its own consumer confidence report page.

What should the notice-lifted letter say?

Most say that the advisory is over, the date it ended, any steps to take before using the water again (run taps, discard ice, flush appliances), and a phone number for questions. Keep it short and plain. Your primacy agency or counsel decides the exact wording, and EPA's Public Notification Rule overview lists the federal elements.

How does mailing work on USMail.ai?

You upload. You approve. We produce. You upload the notice as a PDF or document, add your mailing list, and check the proof on screen. You see the complete price before you approve, and nothing prints until a person on your staff says yes. From our own production floor: we print, envelope and hand each piece to USPS, and you see the proof and the full price before you approve.

If plans change, you can unapprove an approved job before its mail date, and the money goes back on your meter balance, not your card.

Which mail class fits a follow-up?

First-Class Mail is the everyday choice for a letter to every address in an area. A follow-up goes to many residents at once, so Certified Mail rarely fits. Certified Mail is $1.15 plus the current USPS Certified Mail fee, which USPS publishes in Notice 123. You see the full price before you approve. We don't offer paper Return Receipt yet.

What does it cost?

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter. You see the full price for the whole mailing before you approve. A meter balance is optional, and you can pay per mailing. USMail.ai is an AI print-to-mail platform, not USPS.

What does USMail.ai not do?

We don't issue advisories, broadcast alerts or decide when an advisory ends. Your system and your primacy agency make those calls. We print the follow-up letters you upload, as you approved them, and hand them to USPS.

What do people ask about USMail.ai?

Can USMail.ai send the first boil-water notice?

No. A Tier 1 notice is due within 24 hours, so use broadcast, posting or hand delivery first. Mail carries the written follow-ups.

Can we mail the notice-lifted letter to the same area?

Yes. Upload the letter with the same filtered list and approve it. We print and mail it.

Does our state add rules to the federal ones?

It may. Your state primacy agency can add requirements, so check with them before you mail.

Do you add addresses for people who don't get a bill?

No. Every address comes from you, and the AI never suggests one. We check every address before mailing.

When does my letter go to USPS?

By default, letters you approve before 10 p.m. CT are handed to USPS the next business day (Monday to Friday). USPS delivery times vary. USPS handles delivery from there. There are no contracts, subscriptions or setup fees.
