Backflow test due? Remind residents before the deadline.

By the USMail.ai team, more than 50 years of combined expertise in printing and mailing

Statutes checked October 29, 2026

Direct answer: Device owners are sent a written reminder of their test due date and how to send results, and we print and mail every letter on your list. You upload the reminder and the owner list, check the proof and the full price, and approve. USPS delivery times vary, so mail early enough.

Statutes checked October 29, 2026: we found no federal rule that sets backflow test-notice timing or wording. Cross-connection programs run under your state drinking water program and local ordinance. For federal drinking water rules, see EPA's Drinking Water Regulations. General information, not legal advice.

Who sends backflow test notices?

Water systems that run a cross-connection control program: city water departments, rural water districts and private water companies. Owners of backflow prevention assemblies, often businesses, irrigation systems and fire lines, must have them tested on a schedule, and the water system reminds them before the due date. The program and its deadlines come from your state drinking water program and local ordinance.

What should the reminder say?

Most reminders name the due date, what the owner has to do (hire a certified tester and send in the results), where and how to send results, and what happens if the test is missed under your program. Some programs send a first notice, a second notice and an overdue letter. Keep each one short and plain. Your program rules or counsel decide what yours must include.

Can one letter go to every owner?

Yes, when the letter is the same for everyone, such as a general reminder that annual tests are due by a date. Each upload is one letter that goes to every address on your list. If your notices carry device-specific details, such as a serial number or location, upload those as separate mailings so each owner gets the right letter.

How far ahead should reminders go out?

Far enough ahead that owners can book a tester before the deadline. Many programs mail the first notice 30 days or more before the due date, but your ordinance or program decides. USPS lists First-Class Mail at 1-5 business days on its First-Class Mail page, and USPS delivery times vary, so mail early enough. Other drinking water mailings are on the water system notices page.

How does mailing work on USMail.ai?

You upload. You approve. We produce. You upload the reminder as a PDF or document, add the owner list, and check the proof on screen. You see the complete price before you approve, and nothing prints until a person on your staff says yes. From our own production floor: we print, envelope and hand each piece to USPS, and you see the proof and the full price before you approve. Every address comes from you. We check every address before mailing, and the AI never suggests or adds one.

If plans change, you can unapprove an approved job before its mail date, and the money goes back on your meter balance, not your card.

Should an overdue letter go Certified?

Some programs send the final or overdue letter by Certified Mail so there is a USPS record of mailing. Your program rules or counsel decide. Certified Mail is $1.15 plus the current USPS Certified Mail fee, which USPS publishes in Notice 123. You see the full price before you approve. We don't offer paper Return Receipt yet.

What does it cost?

Letters starting at $1.15, postage included. For a one-page, single-sided, black-and-white First-Class letter. You see the full price for the whole mailing before you approve. A meter balance is optional, and you can pay per mailing. USMail.ai is an AI print-to-mail platform, not USPS.

What does USMail.ai not do?

We don't track devices, test assemblies, approve testers or collect test results. Your program records, tester lists and due dates stay in your own systems, and your staff decides who gets each reminder and when it goes out each year. We print the reminders you upload, as you approved them, and hand them to USPS.
